Connecting Your WooCommerce Store to Vervante

WooCommerce does not have a built-in fulfillment connection the way some platforms do. Instead, you send Vervante a plain-text order email in our required format each time an order comes in, and our system reads that email and creates the order automatically. There are a few ways to produce that email, and the right one depends on whether you have developer help and how many orders you process.

What Vervante Needs

However you choose to send orders, the email has to meet four requirements:

It must be plain text, not HTML. It must be sent to orders@orders.vervante.com. The subject line must contain our recognized trigger phrase. And the body must follow our exact format, which lists each Vervante part number and quantity, the full shipping address, and a shipping mode.

Choose How to Send the Order Email

Any of the following methods work. Pick the one that fits your setup.

Option 1: An Automation Platform

Tools such as Make or Zapier can watch your store for a new order and build the order email for you, mapping each WooCommerce field into our format and handling orders with more than one item. This is the best fit for most sellers who do not have a developer, since it requires no code. These platforms charge a monthly fee based on volume.

Option 2: A Custom Order-Email Plugin

Several WordPress plugins can send a custom plain-text email to an address you choose whenever an order is placed, using placeholders for the order details and product information. This sits between the automation route and the developer route. You will still need to configure the email so that its body matches our format specification exactly.

Option 3: A Developer Template Override

If you have developer resources, WooCommerce lets a developer override the order email template, or use its email hooks, to output our exact plain-text format directly. This is the most reliable option and has no ongoing cost, but it does require someone comfortable editing WooCommerce templates.

Why the default New Order email is not enough. WooCommerce does let you set a custom recipient, change the subject, and switch the New Order email to plain text under Settings, Emails, New Order. On its own, though, that email is written for a person to read and does not match our order format, and WooCommerce truncates plain-text fields at 155 characters, so longer product names or multi-item orders can be cut off. The recipient and subject settings alone will not route orders correctly. The body still has to be produced in our format by one of the three methods above.

Advanced: API Integration

Test Before You Go Live

Once your method is set up, send a test order to yourself using your own shipping address and a single low-quantity item. Our system processes incoming order emails every few minutes, so a correctly formatted order will appear in your Vervante portal shortly after the email is sent. If it does not appear, the email was most likely rejected for a formatting reason. Review the format specification and try again.

Because WooCommerce stores vary widely by theme, plugins, and host, exact steps differ from one store to the next, and Vervante is not able to provide technical support for WooCommerce configurations, plugins, or automation tools.
